1. Paragraph in MS Word


What is a Paragraph?

  • A Paragraph in MS Word is a block of text that ends when you press the Enter key.

  • Paragraphs are basic units of a document and can be formatted individually.


Paragraph Formatting Options

MS Word provides many tools to format paragraphs. They are found under the Home tab →


Paragraph group.

  1. Alignment

    • Align Left → Text starts from the left margin.

    • Center → Text is placed in the middle.

    • Align Right → Text ends at the right margin.

    • Justify → Text is aligned evenly on both sides.

  2. Indentation

    • Increases or decreases the space from the margin.

    • Types: Left Indent, Right Indent, First Line Indent, Hanging Indent.

  3. Line Spacing

    • Space between lines in a paragraph (Single, 1.5, Double, Custom).

  4. Paragraph Spacing

    • Space before or after a paragraph.

  5. Bullets & Numbering

    • Add unordered (•) or ordered (1, 2, 3) lists.

  6. Borders & Shading

    • Add decorative borders or colored background to a paragraph.

  7. Tabs

    • Control text positioning with tab stops (Left, Right, Center, Decimal).

Shortcut:

  • Ctrl + E → Center alignment.

  • Ctrl + L → Left alignment.

  • Ctrl + R → Right alignment.

  • Ctrl + J → Justify alignment.

2. Page in MS Word

What is a Page?

  • A Page is the area where text, images, tables, and objects are placed in a document.

  • MS Word allows users to set up page size, orientation, margins, and layout.


Page Formatting Options

Found under the Layout (or Page Layout) tab → Page Setup group.

  1. Margins

    • Space between the text and the edge of the page (Top, Bottom, Left, Right).

  2. Orientation

    • Portrait → Vertical layout.

    • Landscape → Horizontal layout.

  3. Paper Size

    • Common sizes: A4, Letter, Legal, A3.

  4. Columns

    • Divide the page into one or more columns (like newspapers).

  5. Page Breaks & Section Breaks

    • Insert → Page Break → Starts a new page.

    • Section Breaks → Divide the document into parts with different formatting.

  6. Page Borders & Colors

    • Decorative borders and background color can be applied.

  7. Header & Footer

    • Text or images displayed at the top (header) or bottom (footer) of every page.

    • Example: Page numbers, dates, company name.

  8. Page Numbering

    • Add page numbers at top, bottom, left, right, or center.

Difference Between Paragraph & Page

Paragraph

Page

A block of text that ends with Enter key.

The whole document area where text and objects are placed.

Controlled by paragraph formatting options.

Controlled by page setup options.

Example: Alignment, Line spacing, Indentation.

Example: Margins, Orientation, Page Size.
