Introduction

MS Word is a word processing software used to create, edit, format, and print documents. It provides Menus and Commands to help users perform different tasks quickly and efficiently.

1. Menus in MS Word

  • A Menu is a list of options or commands available for performing specific tasks.

  • Menus are usually found in the Menu Bar or Ribbon (depending on MS Word version).

  • Each menu contains groups of related commands.


Common Menus in MS Word:

  1. File Menu – Options for creating, opening, saving, printing, sharing, and closing documents.

  2. Home Menu – Basic editing tools like font, paragraph, alignment, styles, and copy-paste.

  3. Insert Menu – Insert tables, pictures, shapes, charts, headers, footers and page numbers.

  4. Design Menu – Themes, colors, fonts, page backgrounds.

  5. Layout (Page Layout) Menu – Margins, orientation, page size, columns, breaks.

  6. References Menu – Table of contents, citations, footnotes, bibliography, captions.

  7. Mailings Menu – Mail merge, labels, envelopes.

  8. Review Menu – Spelling & grammar, comments, track changes, word count, language tools.

  9. View Menu – Document views (print, web, outline), zoom, ruler, navigation pane.

  10. Help Menu (sometimes in newer versions, under File) – Get help, feedback, or updates.

2. Commands in MS Word

  • A Command is an instruction given to MS Word to perform a specific action.

  • Commands are executed by clicking icons/buttons, selecting from menus, or using keyboard shortcuts.


Examples of Commands:

  • New → Creates a new document.

  • Save / Save As → Stores the document.

  • Cut, Copy, Paste → Moves or duplicates text/images.

  • Bold (Ctrl+B), Italic (Ctrl+I), Underline (Ctrl+U) → Text formatting commands.

  • Align Left/Center/Right/Justify → Aligns text.

  • Insert Picture / Table → Adds objects to a document.

  • Spell Check (F7) → Corrects spelling and grammar mistakes.

  • Print (Ctrl+P) → Prints the document.

3. Difference Between Menu & Command

Menu

Command

A list of related options.

A specific action or task to be performed.

Example: Home menu.

Example: Bold command inside Home menu.

Acts as a container for commands.

Executes the instruction directly.
